THE ORGANIZERS have established the following guidelines to protect the personal information provided by METAWORLD CONGRESS LATAM users. Please note that these guidelines may change at any time, so we suggest consulting them periodically.

This Privacy Policy is available to individuals who have previously provided personal data before the effective date of the Federal Law on the Protection of Personal Data Held by Private Parties, as well as those who have provided and will provide their data after the effective date of this Law.

This Privacy Policy applies to www.metaworldcongress.mx, https://metaworld.checkin.world/home/homeLayout, applications, and other services offered by THE ORGANIZERS (hereinafter “SERVICE”), which refer to and link to this privacy policy.

COLLECTION OF INFORMATION

We collect personal information that you provide directly when you register and/or purchase a pass for the event, create an account on our online services, participate in surveys, or provide information on our platforms, as well as through third-party sources and automated technologies.

The information collected may include:

  • Contact details such as name, email address, postal address, and/or social media identifiers;

  • Other profile information such as academic background, work and professional experience, dietary and accessibility requirements;

  • Payment information such as credit or debit card number;

  • Comments, feedback, and other information you provide, including information and messages sent to customer service, appointment inquiries, and any other information you wish to share with our exhibitors, visitors, partners, and others;

  • Sensitive data revealing health, disability, religion, race, or ethnic origin, as part of a special assistance request or dietary requirements, or in a medical emergency;

  • Your interests and preferences for recommendations of companies, speakers, and other services of THE ORGANIZERS, event attendance planning, networking options, and preferred language;

  • Any other information you choose to share with us voluntarily.

Information from External Sources

  • In addition to the information you provide directly, we may also obtain personal data about you from other sources, including:

  • Service providers who help us determine your location based on your IP address to tailor certain products to your location.

  • Partners with whom we collaborate on co-branded services or engage in joint marketing activities.

  • Social media when you grant the SERVICE permission to access your data on one or more social networks.

  • Public data providers and online sources from which we obtain data to validate or complement the information we have.

Data Collection from Service Use and Assistance

Our SERVICE may automatically collect information about how you and your device interact with it, including:

Details about your computer, devices, and connections, such as IP address, browser type and version, operating system, platform, and other software installed on your device, as well as unique device identifiers and other technical identifiers, error reports, and performance data.

Usage data, such as the features you have used, settings you have selected, clicks on URL links, including date and time stamps, referral and exit pages, and pages you have visited on the Service.

For services that use location data, information about your location, such as your position within an event space.

We collect this data through our servers and the use of cookies and other technologies.
A “cookie” is a data file stored on the user's computer's hard drive when they access a website. Cookies can contain information such as the user ID or information to track the pages visited. Through their use, users are not personally identified, only their computers. Websites may issue advertisements or execute functions of third parties that send cookies to users' computers.

Users can change their options through their computer and/or web browser to stop accepting cookies or to confirm if they are allowed. However, if cookies are disabled, some functions of the website may be limited.

METAWORLD CONGRESS LATAM may use cookies, but this information is used on an anonymous and aggregated basis in such a way that you cannot be personally identified.

Information provided by the user through those sites or portals is not covered or contemplated by this privacy policy, and its management or use is not the responsibility of THE ORGANIZERS. Therefore, we recommend that our users review the privacy policies displayed or applicable to these third-party sites or portals. THE ORGANIZERS may disclose information when required by law and/or competent authorities or when it is considered in good faith that such disclosure is necessary to: I) comply with legal processes; II) comply with the User Agreement; III) respond to claims involving any content that infringes on third-party rights; or IV) protect the rights, property, or safety of THE ORGANIZERS, its users, and the general public.

PHOTOGRAPHIC AND AUDIOVISUAL MATERIAL

The information collected may also include photographs, audiovisual materials, and audio recordings obtained by our suppliers, such as photographers, videographers, and closed-circuit television (CCTV) systems. These visual and audio records may be used as marketing, promotional, and advertising tools by our company and its affiliates. It is important to note that by participating in our events or using our services, you expressly consent to and authorize the use of your image and voice in such materials for promotional purposes related to the events, products, and services of THE ORGANIZERS and their associates. If you have any objections to this use, we recommend refraining from participating in activities where such visual and audio recordings may be captured.

USE OF INFORMATION

  • Facilitating, enabling, and managing your access and use of the SERVICE, including your participation in events.

  • Processing your registration for events and services.

We may disclose information to Mexican and foreign authorities, including financial and tax authorities, to comply with our obligations and those of our associates arising from laws or international treaties, tax obligations, and for compliance with official notifications or requests.

We may disclose information to Mexican and foreign judicial authorities to comply with the law, as well as in notifications, requests, or judicial orders.

YOUR CHOICES

You have the freedom to choose how we use and share your information, meaning you can manage your communication preferences, as well as request updates, corrections, or deletion of your personal information by sending an email to data@tree-alliance.com 

MINOR’S PRIVACY

We do not knowingly collect information from children under the age of 15, nor do we direct the Service to children under 15 years old.

DATA SECURITY AND RETENTION

We take measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. We also retain your information only for as long as necessary to fulfill the purposes for which it was collected and in accordance with applicable laws.

CHANGES AND CONTACT

ARCO Rights

Users have the right to know what personal data is held by the responsible party, for what purposes it is used, and the conditions under which it is used (Access). They also have the right to request the correction of personal information if it is outdated, inaccurate, or incomplete (Rectification); to request the removal of their data from our records or databases if they believe it is not being used in accordance with the principles, duties, and obligations established by law (Cancellation); and to object to the use of their personal data for specific purposes (Opposition). These rights are known as ARCO Rights.

To exercise any of the ARCO Rights, users may submit a written request to the responsible department via email at: data@tree-alliance.com

The information to be provided includes:

  • The name of the data subject and their address or other means of receiving notifications;

  • Documents proving the identity of the data subject, and if applicable, the identity of their representative;

  • If possible, the department responsible for processing the personal data;

  • A clear and precise description of the personal data concerning which one wishes to exercise any ARCO Rights, except for the right of access;

  • A description of the ARCO Right to be exercised, or what the data subject is requesting; and

  • Any other element or document that facilitates the location of the personal data, if applicable.

In the case of a request for rectification, the user must additionally specify the modifications to be made and provide the necessary official documentation supporting their request. In the case of a cancellation request, the user must state the reasons for the removal. In the case of an opposition request, the user must indicate the reasons justifying the cessation of the processing of personal data and the damage or harm it would cause, or if the opposition is partial, specify the specific purposes with which they disagree, provided that it is not a mandatory requirement.

The responsible department will respond via the means designated by the data subject in their request, within 20 business days, which may be extended by an additional 10 business days with prior notice. The response will indicate whether the request for access, rectification, cancellation, or opposition is appropriate, and if applicable, will implement it within 20 business days following the date of the response.

If the user believes their rights regarding the protection of personal data have been violated, they may file a complaint with the Federal Institute for Access to Information and Data Protection (IFAI). Their website is: www.ifai.mx

MUTUAL AGREEMENT
This Privacy Policy is subject to the terms and conditions described above, which constitute a legal agreement between the user and THE ORGANIZERS. By using the services on any of THE ORGANIZERS' sites, the user indicates that they have read, understood, and agreed to the terms outlined above.
